iFax: Secure Online Faxing and Digital Document Management

iFax is an online fax platform that allows individuals, businesses, and organizations to send and receive faxes without relying on traditional fax machines or dedicated phone lines. Available through web, desktop, and mobile applications, iFax combines electronic faxing with document scanning, cloud storage, digital signatures, OCR, data extraction, and workflow integrations.

The platform is designed for both occasional fax users and organizations that need to process larger volumes of documents. iFax also provides features intended for industries that handle sensitive information, including healthcare.

What Is iFax?

iFax is a digital fax service that converts traditional faxing into an online workflow. Users can upload a document, enter the recipient's fax number, and send the fax through the iFax web application or compatible mobile and desktop apps.

Documents can also be imported from cloud services such as Google Drive, Dropbox, iCloud, and Box. The service provides delivery notifications and downloadable audit trails, making it possible to track fax activity after documents are sent.

Send and Receive Faxes Online

One of the main functions of iFax is sending and receiving faxes electronically. Users can send documents from computers and mobile devices without printing them first, while businesses can obtain new fax numbers or port existing numbers to the platform.

The service supports local, toll-free, and international fax numbers, with availability depending on the supported countries and plan. Incoming faxes can be organized in personal or team inboxes, while users can archive, forward, download, and manage received documents digitally.

Mobile Faxing and Document Scanning

iFax includes mobile applications that allow users to scan physical documents using a smartphone and send them as faxes. The built-in scanner can capture documents directly from a mobile device, reducing the need for a separate scanner or fax machine.

The platform also provides document adjustment tools that can help users prepare files before sending them. Mobile users can access their fax history and documents across supported devices after signing in to their accounts.

Secure Document Transmission

Security is an important part of iFax's online faxing service. The platform states that fax transmissions are protected with encryption and that it supports compliance requirements such as HIPAA and GLBA.

For healthcare organizations, iFax provides features including audit logs, access controls, encryption, Business Associate Agreement support, and integrations with electronic medical and health record systems. These capabilities are designed for workflows involving protected health information and other sensitive documents.

OCR and AI-Powered Document Processing

Beyond basic fax transmission, iFax provides tools for working with the information contained in faxed documents. OCR can convert document images into searchable text, while data extraction tools can identify information and convert it into structured fields.

The platform also lists generative AI capabilities that allow users to interact with information contained in faxes and documents through natural-language queries. These tools can be useful when organizations need to find or process information from large numbers of documents.

Cloud Storage and Integrations

iFax connects with several cloud storage and productivity services. Users can import or export documents through platforms such as Google Drive, Dropbox, iCloud, and OneDrive.

The service also provides integrations with EHR and EMR systems for healthcare workflows and supports connections with more than 6,000 applications through Zapier. A developer API is available for organizations that want to integrate fax functionality into their own software or business processes.

Team Fax Management

Businesses with multiple employees can use iFax's team-oriented features to organize fax communications. Depending on the plan, teams can use shared inboxes, user licenses, fax assignments, multiple fax numbers, and collaboration tools.

The Pro plan, for example, includes team inbox and assignment features, scheduled faxes, templates, smart folders, fax-by-email, document annotation, and additional integrations. Enterprise plans add features such as advanced administrative controls, single sign-on, multiple sites, and dedicated support options.

One-Time and High-Volume Faxing

iFax supports different faxing requirements, from occasional one-time documents to recurring business communication. Its pay-per-fax option is designed for users who only need to send a fax occasionally, while subscription plans provide recurring page allowances and additional business features.

For organizations sending larger volumes, iFax also offers fax broadcasting and bulk faxing capabilities. These tools can be used to distribute documents to multiple recipients while maintaining digital records of the transmissions.

iFax Pricing and Plans

iFax currently offers several plans designed around different faxing requirements. Its pricing page lists Basic, Plus, Pro, and Enterprise options, with page allowances, fax numbers, team licenses, and advanced features varying by plan.

For example, the Basic plan currently lists 200 pages at $12.49 per month when paid annually, while Plus includes 500 pages and fax receiving capabilities. The Pro plan includes 1,000 pages and additional features such as scheduled faxes, team collaboration, OCR, AI tools, integrations, and SSO. Enterprise pricing is available for organizations with larger or more specialized requirements.

Who Can Use iFax?

iFax can be used by individuals, small businesses, teams, and larger organizations that still need fax communication but want to manage it digitally. Its features are particularly relevant to industries where fax remains part of established document workflows, including healthcare and other organizations handling sensitive information.

By combining online faxing with document management, cloud integrations, OCR, automation, and API connectivity, iFax can support both simple faxing needs and more structured business workflows.
